AHUIMANU OHANA BOARD MEETING MINUTES
July 20th, 2004

Present
Valsey Frietas, Yvonne Turro, Robert Maeshiro, Julie Aoyagi, Shawn Gillin, Wayne Iseri, Kendra Sevigny, Ann Marie Duca, Leighton Sakamoto, and Lois Upton.

Call to Order
The meeting was called to order at 6:15 p.m.

Approval of Minutes
The June 22, 2004 minutes was reviewed. Lee moved and Wayne seconded that the minutes be approved. Motion was unanimously carried.

Treasurer’s Report
None

President’s Report
Valsey distributed the Ahuimanu School Ohana Budget Proposal 2004-2005 for review. Wayne proposed that Ohana should review items line by line and that corrections, modifications, additions be made. After changes were made, Lee moved and Ann Marie seconded that the proposed budget be adopted. Motion was unanimously carried.

Vice President’s Report
Yvonne announced the recruitment of Lois Upton as the second SCBM representative. She is the parent of an incoming 3rd grader.

Requested Ohana contact sheet to be updated with all members - addresses, phone numbers, email addresses.


Committee Reports:

a. Shirts
Yvonne announced that the purple t-shirts stock order had arrived at the printer. Gold t-shirts stock order still pending. Since the original order was 1,500 shirts, a total of 750 of both colors will be the first order. Additional orders will be made as needed. Yvonne shared that there could be a purpose for the different colors. One could be designated as primary shirt for excursions, the other for general school use. Leighton suggested that the choice be left up to the students as to which shirt they would like to purchase.

Lee motioned and Robert seconded that one gold t-shirt be given to each Ohana member. The motion passed unanimously.


b. SCBM
None


c. Workshop
Valsey shared that the workshops should be along Science & Math topics and coincide with the new math books.

Lee suggested that a financial workshop be put on for the benefit of the children so they can learn basic financial skills. Valsey said that could also be tied into the new math books.

Valsey shared that other PCNCs have been using the "Loving Solutions" workshop. She sees this as something that could be started at Ahuimanu. It would be a great opportunity for parents to learn the steps to drug avoidance, education and prevention for their children entering middle school.


d. Membership
Lee mentioned that the flyer went out.


e. Student Council
Ann Marie Duca is no longer the student council chair. Ohana will be recruiting another student council liaison.


f. PCNC
None.


g. Fun Fair
Ann Marie reported that many requests have been received for craft booths. Lee shared that to avoid some of the problems from last year, an expectation meeting should be set up to better plan this year's event.

Kendra mentioned that Kahea is hard at work soliciting donations for the fun fair auction. Ann Marie requested a list of all the chairpersons of the various functions.


h. Fall Fundraiser
None.


i. Spring Fund Raiser
None


j. Playground
Wayne and Ann Marie to meet to discuss the playground vision for this year. Possibilities for the dragon area to be discussed. Both Ann Marie and Wayne believe that the dragon needs to be removed for safety reasons. Wayne shared that there are many liability issues as well as ADA requirements to contend with. These conditions and restrictions make it harder to introduce new items to any playground.

Ann Marie mentioned that the students would enjoy the new tetherball poles as well as the fitness center.

She also mentioned that Ahuimanu had received two new benches and a table that were donated. They were made from recyclable materials. These items are in the cafeteria waiting to be set up outside. Location yet to be decided.


k. Faculty
Leighton thanked the Ohana for helping to get the new math books. Ann Marie shared that students have as part of the package an e-books option. Students can go online to view the books and don't have to carry their books back and forth to school. Yvonne mentioned that would help to cut down the wear and tear on the new math books.


l. Administration
Ann Marie shared that the bulk of the new math books are in. Only the 6th grade textbooks have yet to come in. They will be arriving in August. She mentioned that not having the 6th grade text books should not be a problem because the workbooks are in and the textbooks can be viewed on-line.

Important dates were presented to members: Welcoming Teachers Back Day-July 27, Kindergarten Interviews - July 29 to August 4, Kindergarten Orientation - August 5-6, Dessert Hour - August 17, and Open House- August 26, 2004. She thanked Ohana in advance for the lunch that will be provided at Welcoming Teachers Back Day.

Valsey announced that the next Ohana meeting scheduled for August 17, 2004 will be held to 1 hour - from 6 p.m. to 7 p.m. This will allow Ohana members to attend Desert Hour and to meet the new kindergarten parents. Ann Marie also wants all members to attend the Open House on August 26, 2004 so all parents and teachers can meet the Ohana and know who we are

She also mentioned that a mainland consultant would be in town to train parent sub volunteers in writing skills. The first scheduled day Parent Substitutes will be needed is September 10, 2004. Training will be conducted prior to this date.

The "ARCH.K12.HI.US" web site is where parents and interested individuals could go online to access all the different DOE reports.

Ann Marie presented the 2005 enrollment. There are currently 432 students that will be attending school this year. The breakdown of grades and number of classes per grade are as follows:

Kindergarten - 3 classes
1st grade      - 3     "
2nd grade      - 2     "
3rd grade      - 3     "
4th grade      - 2     "
5th grade      - 2     "
6th grade      - 3     "
She mentioned that a lot of Geographical Exceptions were received for other grades, but not for 2nd grade. Also if the numbers keep up, there may even be a 4th kindergarten class. She postponed review of Act 51 until the next Ohana meeting. But she did mention that the DOE would be reverting back to a single calendar year for all schools by the 2006-2007 school year.

Ann Marie also put out a request for a new copier. If anyone knows of any person or organization willing to donate a copier, please inform her immediately. The present copier is really giving problems and has become too costly to maintain.

m. Communications
None


Request for Funds
There was a payment made to Gomes Bus for services already rendered.

New Business/Parental Concerns
Shawn mentioned that other schools have really nice yearbooks. She will research how it had been done at other schools and to see if that is something Ahuimanu could benefit from. Ann Marie followed that the purpose of Ahuimanu's book is to act as a memory book and not compete with Castle High School's yearbook.

Ann Marie is requesting that the Parent Survey be put into access for our PCNC. Valsey to follow up. Lee mentioned that James might be able to merge his database with the school's system.


Adjournment/Next Meeting
The next meeting will be held Tuesday, August 17, 2004 from 6p.m. to 7 p.m. The meeting was adjourned at 8:10 p.m
