AHUIMANU OHANA BOARD MEETING MINUTES
June 15,2005

Call to Order
The meeting was called to order at 5:54 p.m.

Approval of Minutes
Yvonne moved and James seconded that the May 18, 2005 minutes be approved. Motion was carried unanimously.

Treasurer’s Report
Julie distributed the Ohana Balance Sheet for the month ending June 14, 2005.

President’s Report
None

Vice President’s Report
Yvonne mentioned to allow time for all vendors scheduled; we would not follow the traditional meeting format. As vendors arrive, we will cease discussions and open the floor to the vendors. Five vendors scheduled were: Hawaii Fund Raising, Koala Moa, School Kine Cookies, Innis Book Wrap, and QSP Readers Digest and World Finest Chocolates. Vendors made excellent presentations of their fund-raising programs (Hawaii Fund Raising did not show up). Yvonne mentioned that vendors would be notified in a week's time of the board's selection.

Yvonne displayed a plastic envelope that could be used as the "Tuesday Envelope." She wants to improve the current process of sending items home and hopes to have this program up and running by this school year. Anne Marie suggested that the Tuesday Envelope idea be introduced to parents on Open House Night. Cheryl suggested that the Ohana look into purchasing envelopes from Fisher or Hopaco to get a better price.

g. Fun Fair
Wayne feels that we are at a cross road regarding the Fun Fair. The ability or desire of people to volunteer at the school has been changing over the years. Therefore, we have to adapt to meet these changes and Wayne believes that we have to restructure how we operate the Fun Fair.

The 'Ohana receives the profits from the Fun Fair Food Booth. Therefore, Wayne is requesting that the 'Ohana Board organizes and mans the food booth. The board needs to find an individual to be the Food Booth Manager who will oversee all areas of the food booth. i.e. obtaining equipment, purchasing items, etc. The Food Booth Manager will recruit 3 shift leaders who will man the food booth during the Fun Fair for 2 hours. The shift leaders need to recruit approximately 7 other people to assist them (simply, there needs to be 3 shifts of 8 people). Currently, we plan to serve hamburgers, hot dogs, french fries, chips, drinks. We are looking at coordinating selling pizza with either Pizza Hut or Papa Johns. The menu could change depending on the Food Booth Manager. It is very important that the board recruits these people immediately so that we can begin preparing for the fun fair.

l. Administration
Anne Marie said she pursuing a program change for Open House to include a short video/sideshow to introduce faculty/staff and school year highlights. She will be working with PCNC - Kailani, Ohana Communications chair - James, and school technical coordinator - Mae Kishimoto.

Anne Marie will follow up with teachers to make this year's Open House more meaningful for parents based on last September's Ohana recommendation. Recommendations include: a short presentation by teachers on what a child's typical day looks like; sharing curriculum and behavior expectations; highlighting upcoming activities; and suggestions for how parents can help their child succeed.

Adjournment/Next Meeting
The next meeting will be held on Wednesday, June 15, 2005 at 5:30 p.m. The meeting is to begin a little earlier in order to allow more time to listen to representatives of several fundraising companies and to decide on the Fall Fundraising activity. The meeting was adjourned at 8:35 p.m.
