AHUIMANU OHANA BOARD MEETING MINUTES May 18,2005
Present
Valzey Frietas, Yvonne Turro, Julie Aoyagi, Robert Maeshiro, Anne Marie Duca, Steve Jenkins, Lois Upton, Carla Trupp, Kahea Souza, and James Garrett.
Call to Order
The meeting was called to order at 6:12 p.m.
Approval of Minutes
Robert moved and Julie seconded that the April 20, 2005 minutes be approved. Motion was carried unanimously.
Treasurer’s Report
Julie distributed the Ohana Balance Sheet for the months ending April 30, 2005 and March 31, 2005. She also mentioned that mailing address on the bank statement should be changed to Ahuimanu Elementary School to make it more accessible to her.
President’s Report
Valzey announced that the board would receive two presentations tonight: Lisa from "Entertainment Books" and Dan from "Shamrock the Trinity Corporation."
Lisa presented the benefits and highlights of using the Entertainment Books for fund raising purposes. She also touched upon Sally Foster Catalog Sales and Body Works Lotions as other fundraising options. She also mentioned that the company is open to incentives such as sponsoring pizza or ice cream parties.
Dan McGivern presented his pound cake, and cookie packs fundraiser programs. Members were allowed to sample the different types of delicious products. Dan mentioned the benefit of signing tonight to lock in exclusive sales rights up to Labor Day. He distributed the prize flyer displaying the different prizes students could earn from sales. The board informed him that they were unable to commit because there are other vendors that will also be presenting their products.
Valzey also shared the possibility of having a Krispy Kreme donut sale on Kahekili Highway. She believes it would be successful. But she will be checking with Kainalu Elementary School to determine why at one point the school appeared to be giving away the donuts just to get rid of them.
Valzey attended a Hoolaulea type fundraiser for King Intermediate School. She mentioned it went very well and might be something to consider in the future. Anne Marie mentioned that Sharon Young (Head Custodian) also raved about a similar type of event held at Noelani Elementary School in Manoa.
Valzey notified the board that Wayne withdrew his nomination for President. After much thought, he decided to chair the Fun Fair. Yvonne will be filling the nomination spot for President and Valzey will replace her as the Vice-Presidential nominee.
Valzey reviewed the various committees that still are vacant. She went over names of individuals interested in serving on these committees and encouraged all members to reach out and welcome them in. Various members shared ideas on how to increase membership.
Vice President’s Report
Yvonne reported that the ballots did not go out as planned. This was primarily due to the personnel changes being proposed. Anne Marie said the ballots are ready; they just need envelopes.
Yvonne also resurrected the idea of a "Wednesday Envelope," because members are in agreement that the current process isn't working well. Wednesday Envelope is a program held at a mainland school her children attended. It involves the school sending home all notices, flyers, homework assignments, exams, etc. on Wednesdays. Parents are attuned to the fact that every Wednesday they should check their children's school bags for the envelope and parents would initial the envelopes to indicate they reviewed its contents. The envelope is also used for reverse correspondence (parents to teachers). There was even a suggestion to make a "Tuesday Envelope." No formal action was taken to implement the "Envelope" program.
Committee Reports:
a. Shirts None.
b. SCC Carla reported that the by-laws have been completed and will be submitted for approval. SCC training will begin in August.
c. Workshop None.

e. Student Council None

g. Fun Fair Wayne volunteered to be next year's Fun Fair Chairperson. Valzey suggested that the Ohana host a booth at this year's fundraiser to raise money for the Ohana. She suggested that we could sell cold deserts from Costco.
Kahea received permission from Anne Marie for Ohana to also sell surplus Ahuimanu inventory at the Fun Fair.
h. Fall Fundraiser Valzey encouraged the Ohana to have members sign up for passive fundraisers such as those at Macy's, Safeway, etc… Since members will be shopping at these places anyway, this could be a method of raising funds for Ahuimanu.
i. Spring Fund Raiser Kahea reported that the Wog-a-thon made $7,700 in profits. She mentioned that the Wog-a-thon went very well this year and volunteered to run it again next year. A class pledge sheet showed that Mrs. Narusaki's class had the highest sales.
j. Playground None.
k. Faculty None.
l. Administration Anne Marie mentioned that Ohana members planning to attend the May Day Program to sign up soon for the special seating arrangements. Ohana members will be introduced during the program.
The Presidential Awards that will be presented to outstanding 6th graders for academic excellence were displayed.
There is a new program in place for school principals. Now principals will work 12 months a year. Despite the change and the fact that she has been approached to seek a higher state level position, she loves being with the children at the school level and has no intention of leaving.
June 3, 2005 is the last day of the school year.
Marines returned to Ahuimanu school duty and everyone was just delighted. Captain Garcia and a Bravo Sergeant presented a beautiful plaque to Ahuimanu in appreciation for all the goodies, gifts and letters that the marines received while in Iraq. Anne Marie also shared a wonderful article in the Islander section of Midweek of the Marine's visit to Ahuimanu.
Anne Marie presented members a sample report of the school's "Weekly Service Review." Constructive suggestions to improve the report were solicited.
She also shared the reasoning behind administering the SATs to the 1st through 3rd grades. It was done to expose the students to the exams they will be taking in the future. Valzey mentioned that her daughter benefited greatly. She complimented her teachers for the great job they had done to preparing the children.
m. Communications None.
Request for Funds
Carla shared that Ahuimanu Students will be putting on the play "Scene from Shakespeare." She is requesting $300.00 to hold a pizza party for cast members. Robert moved and Lois seconded. The motion passed unanimously.
New Business/Parental Concerns
None
Adjournment/Next Meeting
The next meeting will be held on Wednesday, June 15, 2005 at 5:30 p.m. The meeting is to begin a little earlier in order to allow more time to listen to representatives of several fundraising companies and to decide on the Fall Fundraising activity. The meeting was adjourned at 8:53 p.m.
