AHUIMANU OHANA BOARD MEETING MINUTES September 21, 2005

Call to Order
The meeting was called to order at 6:05 p.m.
Approval of Minutes
James moved and Steve seconded that the July 20, 2005 minutes be approved. Motion was carried unanimously.
Treasurer’s Report
Julie reported that as of July 2005, there was $XXX.XX in current assets. The teacher's stipends came out to $XXX.XX.
President’s Report
Yvonne reported that Ahuimanu has officially joined the PTSA. Members should be receiving newsletters via email soon. She also recruited workers to fill various time slots for Saturday's Fun Fair. The Ohana booth will be flipping burgers and offering Papa John's pizza.
Vice President’s Report
None
Committee Reports:
a. Shirts Yvonne asked if we should look into getting new tee shirts next year. Steve commented that it is probably just about due for a change. Anne Marie said that it'd probably take up to a year to get the process done from start to finish. She suggested that we find a vendor who can provide several alternatives and we can let the students vote on which design is the best.
b. SCC Anne Marie shared that the meeting covered the Academic Plan. Members will be attending a conference on Oct. 22, 2005 to learn the benefits and advantages of SCC to the schools.
c. Workshop A Math workshop was held Monday. Our YMCA partners offered assistance. A lot of good ideas came out of how to fine-tune the Math program. Kailani is planning a Drug Prevention workshop on October 26, 2005 with Gary Shimabukuro of Lau Lima Hawaii.
d. Membership Yvonne thanked James for entering approximately 150 membership forms into the Ohana database. Responses to the question: "Would you attend the Ohana meeting if childcare was provided?" Ten families responded "Yes." The Ohana tabled action on the childcare program until more information can be obtained. It was mentioned that it would be costly to hire childcare services and no one shows up.
e. Student Council Anne Marie reported that the Student Council members attended a retreat at Camp Erdman. She expressed that she was never so proud of our students who were all so energetic and responsible. Instead of doing a fundraiser for themselves that they normally plan, they are raising pennies for the Hurricane Katrina victims. She even mentioned that if we see Ms. Almony, don't be surprised if she looks very tired because she was very challenged in keeping up with the students and returned just simply exhausted.
f. PCNC
Anne Marie shared that Kailani is sharing space in C-1 with the new pre-school "Keiki O Ka Aina Child Care Center."
Kailani is planning a Bingo activity game for the students. It will be a game to play with the entire family. She has been busy soliciting prizes for the game.
g. Fun Fair Yvonne shared how exciting planning for the Fun Fair is going. Final touches are being made and everything is good to go. Script pre-sales have been coming in. Yvonne mentioned that Brian would be one of the Fun Fair emcees. Parking will be available in the 1st parking lot and at the Jisso Center. She also invited whoever could make it to help out with setting up the tents Friday evening. It is expected to rain heavily on Friday. But it shouldn't be so windy that it'll be dangerous.
Anne Marie mentioned that the silent auction gift baskets are very beautiful. The big raffle item is a brand new bicycle. She also said that the Rock Wall would allow 2 climbs with the wristband. Additional climbs will require the appropriate amount of scripts.
h. Fall Fundraiser The cookie monies are due within two weeks.
i. Spring Fund Raiser Wog-a-Thon was scheduled again. Last year approximately $XXX.XX was raised. A substitute fundraiser involving reading was suggested. But Ohana members all agreed that the children really seem to enjoy the event's physical activities and the reading fundraiser was quickly discarded.
j. Playground None.
k. Faculty Steve shared that the teachers were all very appreciative of the generous stipends received from Ohana.
He also thanked the Ohana for thinking of the 6th graders by offering the Christmas tree fundraiser. It looks very promising. Yvonne mentioned that while the Ohana would always be willing to help out.
Anne Marie suggested that a table be set up during parent/teacher conferences to do Christmas tree sales. Steve reported that unofficial results of a survey reported that 83% of all respondents favor continuing the program for the Kauai Trip.
l. Administration Anne Marie shared that Ahuimanu is the proud recipient of a $XXXXX grant from the "Arts in the School" program. The funds will be used for Kindergarten through 3rd grade covering such activities as: Conflict Resolution, Orientation, Residency and Performance. In order to receive the grant, Ahuimanu will need to contribute $XXX.XX.
A new component - Parental Involvement was tracked in the "Weekly Service Review." It was found that 85% of parents that said they would attend Open House actually did. Many respondents to the survey said that the Open House was very beneficial. Ohana members also shared that the Open House café presentations and speeches were just the right amount - not too long or short and very informative.
Anne Marie also mentioned that the Lion's will be back on Saturday, October 22, 2005 from 8:30 to 9:30 a.m. to help construct more benches around campus. They are requesting any help if possible.
An Eagle Scout candidate will also be doing his Eagle Scout project installing concrete footings around the benches near the café. Apparently, vandals were trying to dislodge the current footings in order to steal the benches. The new footings will be deeper, wider, and thicker to prevent the benches from being removed.
m. Communications James shared the CD project has been very successful. It covered the May Day 2005 and 2005 6th Grade Kauai Trip. There were nearly 200 pictures on these CDs. He mentioned some ideas on how such projects can be improved in the future.
Request for Funds
Anne Marie requested $XXX,XX in order to release the $XXX,XX "Arts in the School" grant awarded to Ahuimanu. Brian moved and Yvonne seconded. The motion was approved unanimously.
New Business/Parental Concerns
Brian questioned if there is still a Safety Committee. He has noticed that the parking lot traffic situation could use a bit of improvement. Anne Marie mentioned that the committee recently met and contacted a State Safety Expert to visit Ahuimanu. He plans to come and make suggestions for improvement very soon. Anne Marie shared that she did visit Noelani Elementary School to observe their drop off/pick up system. She noted that the Noelani parent's group is very persuasive in making sure that there is a safe environment for their children.
Adjournment/Next Meeting
TThe next official meeting is Wednesday, October 19, 2005 at 6 p.m. The meeting was adjourned at 7:16 p.m.
